Overview

Spotify AdSales is a Tier-1 client whose voice-over ad campaigns were being received and coordinated through a manual, form-based intake process. As the volume of incoming requests grew, this workflow risked inconsistency across intake, production, and revision stages. I designed and documented a full standard operating procedure to bring structure, consistency, and speed to this pipeline, from the moment a request comes in to final client approval.

The Challenge

Incoming AdSales requests arrived through a client-facing form, then had to be manually cross-checked, posted, and tracked across two separate systems. Without a clearly documented process, there was a risk of inconsistent project naming, missed specs, delayed auditions, and disorganized revision cycles, all of which could affect a high-visibility client relationship.

My Approach

I mapped the entire lifecycle of an AdSales project and turned it into a clear, repeatable SOP covering four key stages: checking incoming Jotform submissions, posting the project with the correct specs and Contest structure, sending auditions to the client with organized file naming, and managing revisions until final approval. I documented the exact tools, logins, naming conventions, and escalation points needed at each step, so any team member could pick up a request and execute it consistently.

Impact

This documentation gave the team a single source of truth for handling Spotify AdSales projects, reducing back-and-forth, standardizing project naming and file organization, and making handoffs between team members seamless. It also created a foundation that can evolve as the workflow eventually transitions to a fully automated AdSales widget.
